Details

TheMarriageAdvocates Canada (TMA Canada) seeks to enhance its operational efficiency and community engagement through the development of a customized Customer Relationship Management (CRM) platform. The current system lacks integration, leading to fragmented program delivery and participant engagement. By centralizing operations, the new CRM will streamline processes, automate communications, and improve data management. This project aims to provide robust tools for impact reporting, enabling TMA Canada to support strategic growth and community care effectively. The CRM will also enhance donor engagement by providing insights into donor interactions and contributions. The project will focus on designing a user-friendly interface that aligns with TMA Canada's specific needs and operational workflows.

To support its growing impact and improve internal operations, TheMarriageAdvocates Canada (TMA Canada) proposes the development of CRM — a customized, nonprofit-focused Customer Relationship Management (CRM) platform. This powerful tool will act as a centralized system for managing interactions with participants, volunteers, donors, partners, and other stakeholders. Ultimately, ScaleRun will enhance TMA Canada’s ability to deliver its programs efficiently, track engagement, and demonstrate measurable impact across the communities it serves.

Deliverables

The project deliverables include a fully functional CRM platform tailored to TMA Canada's requirements. This will encompass modules for program delivery, participant and donor engagement, and automated communication tools. Additionally, the CRM will feature comprehensive data and impact reporting capabilities. A user manual and training session will be provided to ensure seamless adoption by TMA Canada staff.

The platform will include:

  • Participant Journey Tracking
  • Monitor individual and family progress through workshops, events, and ongoing support programs.
  • Website Integration & Smart Intake Forms
  • Connect intake forms directly to the website to automatically build participant profiles, send weekly communications, event reminders, and post-event thank-you notes.
  • Donor & Partner Management
  • Maintain a secure donor and partner database, automate thank-you messages, receipts, and track ongoing support and giving history.
  • Client Intake & Case Management
  • Record, manage, and follow up on client needs and services accessed, providing a 360-degree view of support across different programs.
  • Task Automation & Communications
  • Automate scheduling, follow-ups, SMS/email notifications, and outreach communications to families, volunteers, and community partners.
  • Impact Reporting & Data Analysis
  • Generate real-time reports for funders and internal use, capturing metrics like attendance, demographics, outcomes, and engagement levels.
  • Grant Monitoring
  • Log and track all active grants, including start/end dates, key milestones, and reporting timelines to support accountability and renewal planning.
  • Volunteer Login & Activity Tracking
  • Create individual volunteer logins to track participation, hours served, and events supported — improving coordination and recognition.
  • Event Participant Sign-In Logs
  • Capture digital attendance records for all TMA events, including child sign-ins for family-friendly programming, ensuring accurate documentation and safety protocols.
  • Stakeholder & Community Engagement Tools
  • Store contacts for businesses and community organizations, with features to send out event invitations and relevant updates.

Expected Outcomes

Implementing ScaleRun as TMA Canada's CRM solution will result in:

  • Greater efficiency in operations and reduced administrative workload
  • Improved engagement and follow-up with participants, families, donors, and volunteers
  • Stronger relationship management with the broader community
  • Scalable systems to expand program reach and impact
  • More effective data tracking, analysis, and reporting to support strategic planning and grant applications
