What is the main goal for this project?

Project Title: Enhancement of Guest Experience through Strategic Event Management


Background and Overview:

Arts on the Ave, the organization behind the vibrant Carrot Community Arts Coffeehouse, is embarking on an ambitious project to elevate the guest experience at its key cultural events, including the Deep Freeze and Kaleido Family Arts Festival. Leveraging the coffeehouse not only as a key revenue source but also as a collaborative workspace, the initiative aims to refine our event management practices as we approach the spring and summer programming.


Objective:

The primary goal of this project is to enhance the overall guest experience at Arts on the Ave’s events through meticulous research and development, strategic collaboration, comprehensive documentation, and detailed event reporting. An event coordinator assistant will be pivotal in supporting this project, ensuring its successful execution and alignment with our organizational objectives.

By focusing on strategic improvements in our event management approach, this project aims to significantly elevate the experience of guests attending Arts on the Ave’s festivals and events. Enhanced guest satisfaction will not only bolster the reputation of our events but also support the sustainability of the Carrot Community Arts Coffeehouse and its contribution to our projects.


Project Management:

Under the guidance of our project management team, the event coordinator assistant will play a crucial role in driving this project forward. This individual will be responsible for coordinating between various teams, managing documentation, and contributing to the strategic planning and execution of events with the aim of achieving an unparalleled guest experience.


What tasks will learners need to complete to achieve the project goal?

Scope Details:


1. Research and Development:

  - Conduct in-depth analysis of past event data to identify trends and areas for improvement.

  - Explore innovative strategies to enhance guest engagement and satisfaction at upcoming events.


2. Collaboration and Comparison:

  - Engage closely with the Arts on the Ave Team to co-plan and execute the spring/summer event lineup.

  - Foster a collaborative environment to ensure all event aspects are harmonized and aligned with our vision for enhanced guest experience.


3. Documentation:

  - Compile a comprehensive database of all stakeholders and sponsors, including contact information and potential roles in upcoming events.

  - Ensure accessibility of this database to key team members for streamlined communication and engagement.


4. Reports:

  - Develop detailed documentation covering every phase of the event lifecycle, from initial planning through to execution.

  - Highlight key successes, challenges, and learnings to inform future event strategies and initiatives.

A one on one support and mentorship to the students as well as some access to Arts on the Ave resources.

About the company

Arts on the Ave sees 118 Ave, (NAIT to Northlands), as a place whose “personality” is vividly expressed through the arts. This place has a dynamic momentum, “an arts pulse” where the artist and community continually engage.

At its core, Arts on the Ave believes in cultivating artistic fellowship through arts celebrations, signature art festivals, and traditions. The Society’s goals are to create opportunities for all individuals to experience the joy of artistic expression and to nurture creative environments. Arts on the Ave is comprised of visual and performance artists, literary and film artists, photographers, and musicians that collaborate and create in the Alberta Avenue Arts District.
