Your primary focus will be documenting and streamlining core business functions to ensure the organization’s administrative, financial, and technological systems are sustainable, efficient, and transparent.
This work is important in supporting the continued growth of the organization and enabling its programs to function with consistency and integrity.
- Conduct a comprehensive review of existing business operations and identify opportunities for increased efficiency, consistency, and clarity in key workflows.
- Develop internal documentation that standardizes processes for accounting, WSIB filings, payroll, expense reimbursements, and other routine administrative functions.
- Create step-by-step reference guides for core IT systems including Google Workspace, Slack, and file storage infrastructure, ensuring that staff and volunteers can onboard effectively and resolve issues independently.
- Analyze recurring pain points in organizational operations and propose realistic, cost-effective solutions to streamline internal workflows.
- Draft a comprehensive internal handbook that consolidates business policies and procedures in a clear, accessible format for future staff and volunteers.
- Collaborate with the Board of Directors and senior leadership to assess gaps in financial oversight and recommend tools or practices to enhance reporting accuracy and accountability.
- Propose and, where feasible, pilot automation tools, templates, or checklists to reduce administrative burden across departments.
- Present findings and implementation recommendations to the Board of Directors and senior management for consideration and approval.
- If of interest, lead a special project of your own design that improves the organization’s infrastructure, compliance, or long-term sustainability.
Providing specialized, in-depth knowledge and general industry insights for a comprehensive understanding.
Sharing knowledge in specific technical skills, techniques, methodologies required for the project.
Direct involvement in project tasks, offering guidance, and demonstrating techniques.
Providing access to necessary tools, software, and resources required for project completion.
