Details

Optimize and integrate existing databases to improve communication, outreach, and data management. This project will focus on enhancing data accuracy, creating unified group categorizations, designing a survey for updates, and streamlining processes, ensuring the organization can engage partners and donors effectively while making data maintenance user-friendly for volunteers.

Deliverables

Database Audit and Recommendations:

  • Review the effectiveness of Constant Contact and Little Green Light for current and future needs.
  • Identify gaps and propose improvements in data organization and usage.

Data Cleanup and Organization:

  • Address undeliverable emails and improve data accuracy.
  • Incorporate list categorizations into a unified database structure, enabling efficient group and segmentation features.

Survey Design and Implementation:

  • Create and distribute a survey to active contacts for updating and expanding database fields (e.g., group affiliations, interests, and roles).
  • Consolidate updated and new contacts into a single, integrated database.

Database Integration Plan:

  • Develop a strategy for integrating Constant Contact and Little Green Light to enable better tracking of communications, engagement, and donations.

User Training and Documentation:

  • Provide easy-to-follow documentation and training for volunteers on maintaining and managing the updated database.
