Project scope

What is the main goal for this project?: We are a boutique career & leadership coaching/consulting company based in Ottawa serving clients across Canada. We are looking for a virtual assistant to support the 2 Founders of the organization with daily tasks to free up their time to focus on client-facing business development.
What tasks will learners need to complete to achieve the project goal?: CLIENT ACTIVITIES
maintain & clean-up of company CRM (ZohoCRM)
send out prospecting emails (templated) & schedule discovery calls/meetings for Founders
sending onboarding emails to new clients
set up new clients in job search management platform (CareerJSM)
set up new client psychometric assessments (Psychometrics) & send reporting to respective coach
send out client satisfaction surveys (both individual & organization - ZohoSurvey) & send survey feedback to coaches on a quarterly basis
Create & monitor sessions and/or programs, generate broadcast comments, produce insight reports on Habit Builder platform
FINANCE
send payment reminders on overdue invoices
set up electronic funds transfer with new clients
enter Founder's monthly expenses into bookkeeping system (ZohoBooks)

MARKETING
create quarterly newsletters (Canva)
Daily posts to FB and LinkedIn (curate articles from various sources, rotate topics)
sit in on calls with SEO provider & make suggestions on content

EMAIL MANAGEMENT
Monitor general company inbox for website inquiries for services
Go through “Other” folders for Founders and deal with accordingly (unsubscribe from junk)
Go through Junk email folders daily and deal with accordingly (unsubscribe from junk)

How will you support learners in completing the project?: Learners will have access to both Founders for any questions. They will require a home office set up (computer, phone) but will be given access to the required cloud platforms/technology to complete the work.
