At E.Aferi Creative Agency, we specialize in branding, marketing, and digital experiences, leveraging cutting-edge technology such as 3D, Augmented Reality, and AI. Our mission is to empower ambitious Entrepreneurs, Influencers, and Digital Creators by crafting innovative brand experiences. This project offers students an opportunity to gain insights into AI automation in a creative agency environment and contribute to a transformative initiative that enhances operational efficiency.


The primary objective of this project is to streamline the client onboarding and project management processes by conducting a workflow audit, identifying inefficiencies, and proposing AI-powered automation solutions. We aim to enhance operational efficiency, reduce manual effort, and create standardized workflows that leverage automation. This project is designed to be completed within 60 hours, spread over 6-8 weeks.

The mentorship sessions aim to complement the technical guidance and ensure that students not only complete the project successfully but also gain valuable insights into real-world applications of their skills. This includes regular communication via communication channels to provide updates, answer questions, and offer guidance and scheduled meetings such including Kickoff Meetings, Project Check-Ins and Final Presentation.


This combination of technical support, collaborative tools, and dedicated mentorship hours aims to empower students, fostering an environment conducive to their growth and success in completing the project.

Deliverables

Project Scope and Expectations:

During this project, students will:

  • Analyze the current client onboarding and project management processes at E.Aferi Creative Agency.
  • Identify inefficiencies, redundant tasks, and pain points within these workflows.
  • Research AI-powered automation tools such as Zapier, Make, ChatGPT, AI-driven CRM tools (HubSpot, ClickUp), and AI-powered project management solutions.
  • Develop standardized workflows optimized for AI automation.
  • Create Standard Operating Procedures (SOPs) for the optimized workflows.
  • Document their findings and recommendations in a structured report.


Project Details:

Phase 1: Workflow Audit & AI Integration Strategy

Task 1: Conduct Workflow Audit

  • Review existing operational workflows for client onboarding and project management.
  • Identify inefficiencies, redundant manual tasks, and bottlenecks in current processes.
  • Gather feedback from team members on workflow challenges.


Task 2: Research & Benchmarking

  • Analyze industry best practices for workflow standardization and AI automation.
  • Identify and assess AI automation tools relevant to creative agencies, such as Zapier, ChatGPT, Make, HubSpot, ClickUp, or Monday.com.


Task 3: Develop Standardized Workflows with AI Integration

  • Design optimized workflows for client onboarding and project management.
  • Outline step-by-step processes and pinpoint automation opportunities.
  • Create workflow diagrams and documentation for future AI implementation.


Task 4: Develop Standard Operating Procedures (SOPs)

  • Create detailed SOPs for the new standardized workflows.
  • Ensure documentation includes step-by-step instructions, tools required, and expected outcomes.
  • Format SOPs for easy implementation by the agency team.


Task 5: Final Documentation & Presentation

  • Compile findings into a comprehensive report.
  • Develop a presentation summarizing recommendations, standardized workflows, and SOPs.
  • Present findings to the leadership team for review and potential implementation in Phase 2.




Final Deliverables:

  • Workflow Audit Report detailing current inefficiencies and areas for improvement.
  • AI Automation Research Summary outlining industry best practices and potential AI solutions.
  • Optimized Workflow Documentation with process diagrams and AI automation recommendations.
