Our organization (SFI) is seeking individual(s) that can help us restructure our shared network. Your work will involve creating this new organizational structure and moving data. It will also include tracking this movement of data, reviewing documents and flagging them for review by SFI staff.
To ensure the successful delivery of this project, we outline some key tasks (but not limited to) which selected students will perform:
· Gain a better understanding of what SFI is as an organization and become familiar with the data organization
· Participate in weekly meetings and provide updates on the development process
· Work collaboratively with the Director of Quality Assurance and Training
Workplan Activities (DRAFT)
- Create a new Map for our MDrive
- Create an EXCEL Spreadsheet to track document movement
- All folders will be recorded with their origin location & end location
- Individual documents will not be noted, unless they have moved folders
- Create new folders & move documents to new locations
- Review all documents to ensure they are in accordance with our current SOPs
- Create guidelines for staff for Individual Staff Folders
- Provide guidelines to coaches with a deadline to complete this self-audit
- Developing guidelines for Saving to the M:drive
- Provide format for all staff to keep their staff folders organized and prevent staff from duplicating tips and scripts in their staff folders. Have staff do self-audits to organize their staff folders.
- Organize the M:drive/hfxstaff folders to be more accessible
- Audit the current documents and archive those that are outdated/no longer applicable
- Provide training for all staff on the new format for the M:drive/hfxstaff
- Train the delegated staff to complete annual audits of their assigned folders to maintain the organization, reduce duplication of files and ensure documents are up to date.
