The purpose of this initiative is to research the existing internal project management processes and operations application, aiming to enhance overall efficiency and effectiveness in project execution and organizational operations. This project is driven by the need for a more robust and tailored solution that aligns with the requirements of our diverse business units.


To achieve this goal, this project will undergo comprehensive initiation and planning phases, encompassing crucial activities such as investigating and reviewing the current application, gathering requirements through stakeholder interviews, researching and evaluating various project management applications, and ultimately creating a well-defined project charter, scope, budget and schedule.


The replacement process plans need to be clear and well-defined, with a focus on stakeholder engagement supported by a data-driven approach to application selection. By the project's conclusion, we aim to have a clear understanding of the shortcomings in the current system, well-defined requirements for the new solution, and a strategic plan for the successful replacement of the internal project management and operations application.


This introduction sets the stage for the initiation and planning phase, emphasizing the necessity for change, the key objectives of the project, and the structured approach that will be employed to achieve successful outcomes.



Deliverables

Initiation:


Create Project Charter

  • Develop a project charter to define the project's purpose and objectives.
  • Identify Stakeholders.


Planning:


Requirements Gathering and Scope

  • Engage in interviews with stakeholders from business units, team leads, and executives, including C-level that will inform needs for for the application.
  • Define Scope by documenting and analyzing stakeholder feedback to define clear and comprehensive requirements for the new application.
  • Conduct an in-depth analysis of the existing internal application.
  • Identify shortcomings and areas for improvement through a comprehensive review process.
  • Develop criteria for evaluation, including but not limited to functionality, compatibility, ease of implementation, and long-term support.
  • Plan to explore a range of project management applications available in the market.
  • Plan for a detailed comparison of project management applications.
  • Create WBS.


Time Management

  • Sequence activities.
  • Estimate resource involvement and duration for activities.
  • Create a comprehensive project schedule using a Gantt chart.
  • Finalize project schedule.


Project Budget and Costs Management

  • Estimate costs for a new application or revisions to the existing application.
  • Estimate resource costs.
  • Estimate costs associated with the transition including lost opportunity, downtime, training, onboarding etc.
  • Finalize the budget for the project.


Risk Management

  • Identify all risks associated with a transition to a new application.
  • Analyze and quantify risks.
  • Create a comprehensive risk mitigation plan.


Communications Plan

  • Create a comprehensive communications plan outlining all required communication channels and associated stakeholders.

The student or students working on the project will have a dedicated point of contact, a PMP Certified Director at Treefrog Inc. We offer access to our internal project management and communication tools ensuring students have the resources necessary for efficient project handling. Additionally, we provide comprehensive training on these tools to enhance their proficiency.
